Checklist for preparing for auto enrolment or ‘workplace pensions’

1. Find your staging date and appoint 12 months to go
2. Nominate a point of contact to receive and manage all the information 12 months to go
3. Assess your software and your processes. Assess whether or not your current processes and payroll software can cope with all the requirements of auto enrolment 12 months to go
4. Assess your work force – identify who qualifies for the programme and who does not 12 months to go
5. Communicate the changes with your workforce. These changes will have a direct impact on your staff and so it’s good to give plenty of notice and allow time for questions to be dealt with 12 months to go
6. Assess the cost impact on your business.  These changes will have implications for HR and payroll. In addition there will be costs relating to upgrading or changing your software and the cost of the pension contributions themselves.
You will also need to consider how you will you manage the additional administration burden both in terms of record keeping as well as the extra functionality required of the payroll department

8. Review your current arrangements – does your current pension scheme qualify under the new legislation or will you need to find a new provider? 7 months to go
9. Finalise your choice of provider for the appropriate systems or upgrades you will need 6 months to go
10. Finalise your choice of pension scheme, ensuring that your scheme of choice qualifies under the new legislation 6 months to go
11. Plan your implementation programme 4 months to go
12. Enrol eligible job holders 2 months to go
13. Start keeping the relevant records 2 months to go
14. Communicate with your employers. You MUST write to each of your employees within one month of your staging date. You are obliged to inform them of the changes to come, whether they’ve been/will be enrolled, when they were/will be enrolled 1 months to go
15. Register with the Pensions Regulator – you must now register with the Pensions Regulator and provide information about how you’ve fulfilled your auto enrolment duties. Your registration deadline is 4 calendar months from your stating date.
